Data Deletion Instructions
Effective July 27, 2026
You can ask Cadence Helm to delete the information we hold about you at any time, and you do not need an account with us to do it. This page explains exactly how, what gets deleted, and what is outside our reach. It sits alongside our Privacy Policy.
First, which situation applies to you
Cadence Helm handles information in two different roles, and the request is the same either way — but it helps us to know which one you are in.
You contacted Cadence Helm directly
You submitted our application or demo form, used the chat assistant on cadencehelm.com, booked a call with us, opted in to our text messages, or sent a direct message to a Cadence Helm account on Instagram, Facebook, or another platform. We are responsible for that information and we act on your request ourselves.
You messaged a business that uses Cadence Helm
Cadence Helm builds and runs lead-response systems for other businesses. If you messaged one of those businesses — on its Facebook Page, its Instagram account, or through the chat on its website — your conversation may sit on our platform, held on that business’s behalf. That business decides how the information is used; we only store and process it for them.
You can go to that business directly, and often that is fastest. You do not have to, though. If you come to us, we will delete what we hold for them and notify them of your request. If you are not sure which business it was, tell us the Facebook Page or Instagram account you messaged and we will work it out.
How to make the request
- Email support@cadencehelm.com. Use the subject line Data deletion request so it is routed correctly.
- Tell us which account you messaged — the Facebook Page name, the Instagram handle, or the website you used the chat on.
- Tell us how to find you in that conversation: the username or handle you messaged from, or the phone number or email address you gave during the conversation. We do not store your display name or profile photo, so an identifier you actually used is what lets us locate the right thread.
- Send it from the email address associated with your inquiry where you can. If you cannot, say so — we will ask you for something else that reasonably confirms the request is yours before we delete anything. We do this so nobody can erase someone else’s records, and we will not ask you for more information than we need to verify you.
An authorized agent may make the request for you; we will ask for reasonable proof of their authority.
What we delete
Once we have located and verified your records, we delete:
- The conversation. Every message in the thread — what you sent and what our assistant replied — and the session that holds them together.
- The link to your messaging ID. The thread record that ties the platform-assigned messaging ID for your Facebook or Instagram account to that conversation.
- The contact record created from it. Any first name, last name, phone number, or email address that was captured because you typed it into the conversation, along with the follow-up history attached to that contact.
- The inquiry record. The entry logging that a message arrived, when it arrived, and which channel it came from.
These records are removed outright from our live systems — we do not merely hide them, we do not keep a working copy elsewhere, and we do not retain your information in a de-identified form to fall back on. Our hosting provider keeps routine short-term backups of the underlying database for disaster recovery, as any hosting provider does; those are not accessible to us as a copy of your data and they age out on the provider’s own cycle.
What we cannot delete
We want to be straight about the limits, because some of this is genuinely outside our control:
- The copy in your own app. The conversation as it appears in your Messenger, Instagram, or SMS thread belongs to your account. Delete it there if you want it gone.
- The platform’s copy. Meta holds its own copy of messages sent through Facebook and Instagram, governed by Meta’s Privacy Policy, not by ours. Deleting your data with us does not delete Meta’s.
- Anything the law requires us to keep. Occasionally a specific record must be retained — for example, a record of a text-message consent or opt-out, which exists precisely to prove we had the right to contact you and to make sure we stop. If that applies to any part of your request, we will tell you exactly which record it is and why, and we will delete everything else.
- A copy the client business took out of our platform. If a business exported or wrote down your details somewhere of its own, that copy is theirs. We will notify them of your request; you can also ask them directly.
How long it takes
We aim to act within a few business days, and we commit to completing the deletion and confirming it to you within 30 days of verifying your request. If your request needs more time or we cannot honor part of it, we will tell you before those 30 days are up, explain why, and tell you how to appeal that decision.
Removing our access on Facebook or Instagram
Separately from deletion, you can cut off the connection itself. In your Facebook or Instagram account settings, in the section listing the apps and websites connected to your account, you can remove Cadence Helm’s access.
Please note the difference: removing access stops any further information reaching us, but it does not delete what we already hold. To have existing records deleted, email us as described above.
If you are a business that uses Cadence Helm
You can delete individual conversations and contacts yourself, at any time, from your Cadence Helm console.
To have everything removed — because you are ending your engagement or simply want to start clean — email support@cadencehelm.com from an address on your account. We will disconnect your Facebook, Instagram, and other channels from our platform, delete the access tokens we hold for them, and delete the records we held on your behalf, apart from anything we are required to keep for legal or accounting purposes. You can also remove Cadence Helm from your own Meta Business settings at any time, which immediately stops new messages flowing to us.
