Privacy Policy

Cadence Helm LLC (“Cadence Helm,” “we,” “us,” or “our”) is a New Jersey limited liability company. This policy explains what information we collect when you visit cadencehelm.com, submit our application form, or message us (including through our chat assistant or our social accounts), what we handle on behalf of the businesses we work for, how it is used, and the choices you have. We keep this short and plain on purpose.
Information we collect
- Information you give us. When you submit the application form, we collect your name, email address, and whatever you write in the message field. We only ask for what we need to respond to your inquiry.
- When you chat with our assistant. If you use the chat window on the site (our AI chat assistant), we collect the messages you send and any contact details you choose to share. These conversations are processed on our own lead-response platform so we can answer you. The assistant is for general questions about our service; please don’t enter sensitive personal or health information.
- When you message us on social media. If you send a direct message to one of our connected accounts on Instagram, Facebook, TikTok, or another platform, we receive the text of your message and a platform-assigned messaging ID that identifies you to our account. We do not retrieve your display name, profile photo, or other profile fields from the platform, and we do not store photos, videos, voice notes, or other attachments — our system reads message text only. Our own lead-response platform processes these conversations, and our AI assistant replies to you; it identifies itself as automated at the start of the conversation, and a person reviews new inquiries and follows up. The platform you message from (for example, Meta) also handles your information under its own privacy policy. Please don’t send sensitive personal or health information this way. You can ask us to delete your messaging data at any time; see Data Deletion Instructions.
- When you book a call with us. If you schedule a call through our assistant or our booking page, we collect the details needed to set up the appointment: your name, email address, phone number, and the time you choose. We use them to confirm the call and send you reminders. Our booking and scheduling run on our own platform.
- When you opt in to text messages. If you check the text-message box on our demo form and give us your mobile number, we collect that number to send you the demo reply and limited follow-ups about your request. This is optional; you are only texted if you check the box.
- Information collected automatically. Like most websites, our hosting provider records standard technical data such as your IP address, browser type, and the pages you view. This is used to operate and secure the site.
Cookies and tracking
We use Google Tag Manager and Google Analytics to understand how visitors find and use this site, such as which pages are viewed and which link brought you here. These tools set analytics cookies and receive standard technical data like your IP address and browser type. We do not run advertising or cross-site tracking pixels on these pages, and we do not sell this data or use it for advertising. You can block analytics cookies with your browser settings or a browser extension, and we honor recognized browser privacy signals such as Global Privacy Control (GPC) where they apply.
How we use your information
- To evaluate your application and determine whether Cadence Helm is a fit for your business.
- To contact you about your inquiry and, if relevant, to discuss working together.
- To schedule and confirm calls you book with us, and to send you reminders about them.
- To operate, maintain, and secure the website.
- To comply with our legal and tax obligations.
We will not use the information you submit here to send you unrelated marketing.
Text messages (SMS)
If you check the text-message box on our demo form and provide your mobile number, you agree to receive text messages from Cadence Helm about your demo request: an instant reply and occasional follow-ups. Consent to receive texts is its own checkbox, separate from this Privacy Policy and our Terms, and is never a condition of any purchase or service. Message frequency varies. Message and data rates may apply.
You can opt out at any time by replying STOP to any message, and reply HELP for help, or email support@cadencehelm.com. We do not sell or share your mobile information, and mobile opt-in data and consent are never shared with third parties or affiliates for their marketing or promotional purposes. We use your number only to send the demo reply and follow up about Cadence Helm, and our messaging runs on our own platform.
Data we handle for client businesses
Everything above describes information Cadence Helm collects for itself, where we decide how it is used. We also operate lead-response systems for other businesses, and that is a different role with different rules.
When a client business connects its own website chat, phone number, or Facebook and Instagram accounts to our platform, messages from that business’s customers flow through our systems so the business can answer them. In that arrangement the client business decides why the information is collected and what happens to it. Cadence Helm only stores and processes it on that business’s instructions. California law calls this role a service provider; the equivalent term under laws such as the GDPR is a processor.
If you messaged a business that uses Cadence Helm, this is what our systems hold about you:
- The conversation. The text of the messages you send and the replies our assistant sends back, kept together as one thread so the business can read it.
- A platform-assigned messaging ID. For Facebook Messenger and Instagram, this is the ID Meta issues for you that is scoped to that business’s account. It is not your public username, and we do not retrieve your display name, profile photo, or any other profile field from Meta.
- Contact details you volunteer. If you type a name, phone number, or email address into the conversation, our system saves those four fields — first name, last name, phone number, email address — to that business’s contact list so someone can follow up. Nothing else from the conversation is copied into that record.
- Basic inquiry details — when the message arrived, which channel it came from, and whether it landed outside business hours — so the business can see how quickly inquiries get answered.
We do not store photos, videos, voice notes, or other attachments; our system reads message text only. We do not record your IP address as part of these conversations.
What it is used for. Client-customer information is used for one purpose: providing the service to that client business — answering the message, recording the inquiry, and letting the business follow up with you. Cadence Helm never uses it for our own marketing, never adds it to our own prospect or mailing lists, never sells or rents it, and never uses it to train AI models. The business you messaged receives it, because that is the point of the service. Beyond that business, it is disclosed only to the same limited service providers listed under How we share information, who may use it only to run the platform for us.
Sensitive information and health data. Our assistants are built not to ask for medical or clinical details, and are instructed to redirect rather than repeat them if someone volunteers them. The lead-capture step that builds a contact record is limited to the four fields listed above, so clinical information is never copied into one. Cadence Helm does not accept Protected Health Information (PHI) on the platform. We are not a HIPAA business associate, we do not enter Business Associate Agreements, and the platform must not be used to collect or transmit PHI. Please do not send medical, health, financial, or other sensitive details through chat or direct message: if you type them anyway, that text stays in the conversation record until the conversation is deleted. You can ask for that at any time — see Data Deletion Instructions.
Your choices. The client business controls its own data and can delete conversations and contacts from its Cadence Helm console. You can ask the business directly, or you can come to us — see Data Deletion Instructions and we will act on your request and pass it to the business.
When a client leaves. When a business ends its engagement with us, we disconnect its Facebook, Instagram, and other channels from our platform and delete the records we held on its behalf, apart from anything we are required to keep for legal or accounting purposes. A business can also remove Cadence Helm’s access at any time from its own Meta Business settings, which stops any further data reaching us.
How we share information
We do not sell or rent your personal information. We share it only in these limited cases:
- Service providers who help us run the business, such as website hosting, the infrastructure our own lead-response platform runs on, and the AI model provider that processes chat and direct-message content so we can reply to you. They are permitted to use the information only to provide those services to us.
- Legal requirements, when we are required to respond to a lawful request or to protect our rights, safety, or property.
- Business transfer, if Cadence Helm is ever involved in a merger, acquisition, or sale of assets, in which case we will notify you of any change in how your information is handled.
How long we keep it
We keep application information only as long as needed to respond to your inquiry and for our reasonable business and legal records. When it is no longer needed, we delete it. You can ask us to delete it sooner at any time.
Deleting your data (including social messaging data)
You can ask us to delete the information we hold about you at any time — whether you contacted Cadence Helm directly or messaged a business that uses our platform. This includes messages you sent to a connected Facebook or Instagram account, the platform-assigned messaging ID stored with that conversation, and any contact details captured from it. Email support@cadencehelm.com and tell us the account you contacted, and the username, phone number, or email address you contacted it from. We will delete the conversation records and the contact information created from them within 30 days and confirm when it is done, unless the law requires us to keep a specific record. Deleting your data with us does not remove the copy of the conversation in your own messaging app or the platform’s copy, which the platform (for example, Meta) handles under its own policy.

How we protect it
We use reasonable administrative and technical safeguards to protect the information we hold. No method of transmission or storage is perfectly secure, but we take protecting your information seriously and limit access to it.
Your privacy rights
The categories of personal information we collect are limited: identifiers (your name and email address, your phone number if you book a call or opt in to text messages, and the platform-assigned messaging ID if you message us on social media), any information you choose to write to us (in the application form, the chat window, or a social message), scheduling information (the appointment time you pick when you book a call), and internet/technical data (such as IP address and browser type) recorded automatically by our hosting provider. We do not collect sensitive personal information, and we do not use any of it for profiling or to make automated decisions that produce legal or similarly significant effects about you. Our assistant does write its replies automatically and does automatically pick out contact details you have typed; a person reviews new inquiries and follows up.
Depending on where you live, you may have the right to request access to the personal information we hold about you, to have it corrected, or to have it deleted, and to receive a copy of it in a portable form. California residents (under the CCPA/CPRA) also have the right to know what we collect, to request deletion, to correct inaccuracies, to limit the use of sensitive information, and to opt out of the “sale” or “sharing” of personal information. Residents of other states with comprehensive privacy laws (such as Virginia, Colorado, Connecticut, Texas, and others) have similar rights, including the right to appeal a denied request. We do not sell or share your personal information as those terms are defined under these laws, we do not use it for targeted advertising, and we will not discriminate or retaliate against you for exercising any of these rights.
If your data is held for a client business. Where Cadence Helm acts as a service provider or processor, the client business you messaged is the one responsible for answering your request, and the most direct route is to contact that business. You do not have to, though: email us and we will delete what we hold for that business and notify them of your request, on the same 30-day commitment described under Deleting your data. We will not use a request made this way as a reason to keep your information for anything else. Because we hold this data only on the business’s behalf, requests to access, correct, or port it are ones we forward to that business rather than answer ourselves, and we will tell you who they are so you can follow up.
To exercise any of these rights, email us at support@cadencehelm.com from the address associated with your inquiry, or have an authorized agent contact us on your behalf. We will verify your request, respond within the time the law requires, and tell you how to appeal if we are unable to honor it.
Children
This site and our services are intended for business owners and are not directed to children under 16. We do not knowingly collect information from children.
Changes to this policy
If we change this policy, we will post the updated version here and revise the effective date above. Material changes will be made clear.
